We are looking for a proactive, organized, and communicative Community Manager to support coordination across all committees, teams, and working groups. This role is essential for ensuring smooth communication, structured collaboration, and effective follow-up on organizational tasks.

Responsibilities
1. Meeting Support & Coordination
Join meetings with the Executive Director and team leaders
Take detailed, structured notes and document decisions and next steps
Track tasks and deadlines, ensuring follow-ups are completed
Coordinate communication and alignment across committees and working groups
2. Administrative & Ad-Hoc Support
Assist with general admin tasks and organizational needs
Maintain internal documents, shared folders, and structured workflows
Help with scheduling, coordination, and reminders for the team
3. Email & Communication Management
Monitor and organize shared email inboxes
Respond to inquiries or delegate messages to the correct person
Draft simple communication or follow-up emails
Ensure important messages are not overlooked and communication flows smoothly
4. Data & Reporting
Maintain Excel/Google Sheets for tracking tasks, progress, or project data
Create clear, concise reports summarizing updates for leadership and teams
Keep dashboards and tracking systems updated and accurate
5. Community & Team Support
Support collaboration across committees, project groups, and volunteers
Help maintain alignment on goals, deadlines, and priorities
Serve as a central point of coordination to reduce miscommunication
Requirements
Ideal Candidate Profile
We’re looking for someone who is:
A strong communicator, comfortable connecting different teams and relaying information clearly
Highly organized, with the ability to handle multiple communications and tasks
Detail-oriented, ensuring accurate notes, reports, and tracking
Reliable, consistently joining meetings and following up on assigned tasks
Proactive, taking initiative to solve problems and streamline processes
Excel/Google Sheets proficient, able to maintain spreadsheets and basic data structures
Experienced in email and admin management, keeping communication well-organized
Collaborative, supportive, and comfortable working with diverse groups
Adaptable, ready to handle unexpected tasks and shifting priorities
Experience in community management, coordination, or administrative roles is a plus, though not required
